Privacy Policy

This policy explains how OUR PLAYCES PRIVATE LIMITED collects, uses, stores and shares information when people use Playces Connect for grant administration and reporting.

1. Who we are

Playces Connect is operated by OUR PLAYCES PRIVATE LIMITED (“Our Playces”, “we”, “us” or “our”). Questions and privacy requests may be sent to tomodachi@ourplayces.com.

2. Scope

This policy applies to Playces Connect, including information submitted through connected messaging channels such as WhatsApp and Telegram and information accessed through the Playces Connect staff portal. A participating grant manager or community organisation may provide additional notices about its own handling of information.

3. Information we process

  • Contact and channel information: phone numbers, messaging identifiers, display names and conversation metadata.
  • Messages and files: text, photographs, receipts, supporting documents, captions, voice notes and other content sent to a connected account.
  • Grant-reporting information: project and reporting-period details, expenditure categories, vendors, dates, amounts, activity descriptions, participant counts, feedback and corrections made by authorised staff.
  • Staff account information: account identifiers, roles and review activity for authorised portal users.
  • Technical information: webhook records, timestamps, delivery identifiers, processing status, security logs and diagnostic information.

4. How we use information

We process information to:

  • receive, route and organise submissions for the correct organisation or project;
  • classify messages and extract information from receipts and supporting documents;
  • support grant monitoring, expenditure review and preparation of reports;
  • allow authorised staff to check, correct and approve extracted information;
  • operate, secure, troubleshoot and improve the service; and
  • meet contractual, regulatory and legal obligations.

5. Automation and artificial intelligence

Playces Connect may use automated tools and artificial intelligence to classify a submission, transcribe content, or extract fields such as a receipt’s date, vendor and amount. Automated results may be incomplete or inaccurate. The service is designed so authorised staff can review and correct information before it is used in final grant reporting.

6. When information is shared

Information may be available to the participating organisation, its authorised grant managers and support staff, and service providers that help us operate Playces Connect. These may include Meta and WhatsApp for message delivery, Supabase for database and file storage, OpenAI for enabled AI processing, and our hosting and infrastructure providers. We may also disclose information where required by law or to protect people, rights and systems. We do not sell personal information.

7. International processing

Some service providers may process information outside Singapore. Where applicable, we use contractual and organisational measures intended to protect information when it is transferred or processed internationally.

8. Retention

We retain information only for as long as reasonably necessary for the pilot, grant administration and reporting, service operation, contractual requirements, dispute resolution, security and applicable legal obligations. Retention may also be governed by an agreement with the participating organisation. Information is deleted or anonymised when it is no longer required, subject to legitimate archival and legal obligations.

9. Security

We use access controls, encrypted network connections, restricted service credentials, signed webhook verification and operational monitoring intended to protect information. No system can guarantee absolute security, and users should avoid submitting information that is not needed for the relevant grant or project.

10. Photographs and information about other people

A person submitting photographs, stories, feedback or other information about someone else should ensure they have appropriate authority or consent to do so. Extra care should be taken with images or information involving children or other vulnerable people. Please do not submit sensitive information unless it is necessary and authorised.

11. Your choices and requests

Depending on the circumstances and applicable law, you may ask to access, correct or delete information, withdraw consent, or raise a concern about its use. Send your request to tomodachi@ourplayces.com. We may need to verify your identity and coordinate with the participating organisation before acting. 12. Changes to this policy

We may update this policy as Playces Connect develops. The current version and effective date will remain available at this URL.
